Job description

To provide general administrative support to the Monitoring and Evaluation Divison and maintain an efficient document management control system. And promoting the use of technology across the organisation through the provision of dedicated system ClickUp, Risk System & M&E system support.
 
Key Performance Responsibilities:
 
Reporting
  • Maintaining and updating the project verifications Incident reporting tool developed.
  • Assist Manager during audit periods to ensure that all required documents from Auditors are collated appropriately and submitted on time.
  • Assist in pre-audit assessment document filing & verification
Data Analytics
  • Analyse the data in the:
  • Commitment Register
  • Payments Schedules
  • M&E Dashboard
Assurance
  • Verify evidence in the SQMR against monthly APP Target submissions
  • Verify ISSA invoices
System Related
  • Systems Administrator for the ClickUp tool for the organisation
  • Assisting all users within the organisation with system related queries & support.
  • Systems Administrator for the Risk Management Tool
  • Assisting all risk champions within the organisation with system related queries
    support.
  • Systems Administrator for the M&E project verification system
Administration
  • Maintain M&E documents, information, correspondence & files in developed physical orelectronic filing systems for constant audit readiness.
  • Taking and keeping minutes of the Divisional meetings, including Independent Sector Skills Advisor meetings
  • Support the office with administrative and secretarial duties on a day-to-day basis.
  • Processing of Divisional staff travel requests
  • Any other reasonable task as may be requested by Management

Minimum requirements

 

  • National Senior Certificate (essential)
  • Be computer literate with MS packages.
  • National Diploma in Internal Auditing, Risk Management, Public Administration, Office Administration or equivalent 
  • Not have previously completed an internship
  • Be prepared to enter into a learning agreement for period not exceeding 12 months commencing as soon as possible
  • Please note permanent employment after completion of the programme is not guaranteed.
