Job description

To provide general administrative support to the Projects Department and maintain an efficient document management control system.
 
  • Key Performance Responsibilities:
    • Provide administrative support regarding the management of projects;
    • Receive invoices and prepare a list thereof;
    • Assist with the preparations of payments and make sure payments are processed and paid within 30 days;
    • Explain the payment process to the stakeholder;
    • Communicate with stakeholders on the functions of the SETA;
    • Acknowledge enquiries, record and save information and correspondence in developed physical or electronic filing systems;
    • Liaise with stakeholders to address concerns and ensure that they are resolved within 72 hours of receipt/reported;
    • Provide information in response to routine enquiries relating to projects matters;
    • Arrange travel and workshops logistics for projects staff and stakeholders;
    • Organize meetings, including maintaining Project staff calendars;
    • Maintains and updates relevant databases;
    • Develop administrative systems underpinning the Projects function;
    • Carry out administrative and secretarial duties, including minute taking;
    • File all project documents (hard and soft copies)
    • Assist stakeholders with the grant applications;
    • Provide assistance to Line Manager during the audit period to ensure that all required documents from Auditors are collated in appropriate manner and submitted on time;
    • Any other reasonable task as may be requested by Management.

Minimum requirements

  • National Senior Certificate
  • National Diploma in Finance/Accounting/Business Management or Degree in Finance/ Accounting/ Business Management or equivalent
  • TVET College learners with N4, N5 and N6 in Financial Management or Business Management or related fields are also eligible
  • Literacy in Microsoft Office Computer Packages
  • Good Communication skills (Written and spoken)
  • Interpersonal skills
  • Attention to details
  • Strong time management skills
  • Abillity to work in team-oriented environment
  • Abililty to work under pressure
  • Be prepared to enter into a learning agreement for period not exceeding 12 months commencing as soon as possible
  • Please note permanent employment after completion of the programme is not guaranteed.
