Job description

To provide general administrative support to the Skills Planning, Research & Reporting division and maintain an efficient document management control system.

 Key Performance Responsibilities:

  • Provide administrative support regarding SSP compilation, research projects, WSP and ATR submission, mandatory payments and SQMR compilation;
  • Maintain and updates relevant databases where the WSP/ATR data will be continuously evaluated for trends i.e. Levies, registered companies and Pivotal training;
  • Assists with stakeholder communication;
  • Assist with Skills Planning and Research staff travel arrangements and stakeholder workshop logistics;
  • Maintain and updates relevant databases;
  • Provide advisory support on the administrative systems underpinning the Skills Planning and Research function
  • Acknowledge enquiries, record and save information and correspondence in developed physical or electronic filing systems;
  • Support the office and carry out administrative and secretarial duties;
  • Liaise with administrative and support staff on a day-to-day basis;
  • Provide information in response to routine enquiries relating to skills planning and research matters.
  • Provide assistance to Line Manager during the audit period to ensure that all required documents from Auditors are collated in appropriate manner and submitted on time;
  • Assist with reception duties
  • Any other reasonable task as may be requested by Management.

Minimum requirements

  • National Senior Certificate (essential)
  •  National Diploma or Degree in Office Administration, Public Administration or equivalent qualification;
  • TVET College learners with N4, N5 & N6 in Office Administration, Public Administration or related fields are also eligible
  • Literacy in Microsoft Office Computer Packages;
  • Good Communication skills (Written and spoken).
  • Interpersonal skills;
  • Attention to detail;
  • Strong time management skills;
  • Ability to work in team-oriented environment;
  • Ability to work under pressure.
